CONTEXT
Lérab Ling is a Tibetan Buddhist retreat center, set in a protected mountain landscape in the south of France, near Lodève (Hérault). Throughout the year, we offer a rich program of retreats and public events—hosting up to 800 participants during the major summer retreats—open to anyone wishing to explore meditation, experience Tibetan culture, or deepen a spiritual practice.

THE POSITION
We are looking for a Programme Coordinator Assistant to take on a key organisational role and strengthen our ability to deliver high-quality events that bring benefit and deepen connection — whether for the general public or Buddhist community.
The strategy, content and programme are defined by the Programme Managers; your job is to make that plan a reality — coordinating all the moving parts and ensuring that information, teams, logistics come together seamlessly. You will be the connector between the programme team and all the areas that bring each event to life, with an eye for improving and simplifying processes.
YOUR RESPONSIBILITIES
Program Planning
- Plan and organise workshops to discuss and develop the annual program (12-month outlook)
- Maintain a calendar of deadlines across programme planning and all events
- Organise and facilitate follow-up and coordination meetings
- Assist in preparing programme overviews
Getting Events Open for Participants
- Finalise the practical details for each event and gather all information needed to bring each event live — following up with teachers, speakers, and internal teams for descriptions, pricing, schedules, and logistics.
- Set up events in our systems, verify that all details are correct.
- Coordinate with the communications and registration team to get registration open and events communicated.
Coordination and Operational Oversight
- Proactively follow up across teams to ensure each event progresses smoothly including:
- Identify and mobilise event teams for each event (event leads, event managers, translation, and various support teams).
- Booking and coordination of event rooms in liaison with the Temple team.
- Organise bookings, administrative arrangements for teachers, speakers and event teams coming to Lérab Ling.
- Maintain and monitor event tracking tools, produce weekly registration updates
- Identify opportunities to improve and streamline the whole event coordination process.
- Support post-event review, collecting feedback
YOUR PROFILE

- Highly organised, thorough and methodical
- Good interpersonal skills and clear communicator
- Autonomous but working in a highly collaborative environment
- Calm and adaptable when plans change or priorities shift
- Experience: 2–3 years minimum, ideally in event management or coordination. Experience in the non-profit, cultural, Buddhist or contemplative environments is a strong plus.
- Languages:
○ French: Level C1—Fluent
○ English: Level B2 —ability to communicate with ease, fluent writing and comprehension.
● Tools: Comfortable with digital tools and databases including web publishing
○ Experience with Airtable, or similar platforms is a plus.
○ Ease with spreadsheet tools (Excel or equivalent) for tracking and reporting.
